How we collect, use, and protect your data.

1. Who we are

Kaien (“we”, “us”, “our”) is a scheduling product built and operated by an individual founder based in Pune, India. Our service is available at getkaien.com. For privacy-related queries, contact us at privacy@getkaien.com.

2. What data we collect

We collect the minimum data needed to run the service. This includes:

Account information: Your name and email address when you sign up or connect via Google OAuth.
Calendar data: We read your Google Calendar to check availability and write booking events on your behalf. We do not store the content of your calendar events beyond what is necessary to create and manage bookings.
Booking metadata:When someone books time with you, we store the guest's name, email, the event type, and the scheduled time. This is necessary to send confirmation emails and manage reschedules.
Usage data: Page views and aggregate usage patterns collected via Google Analytics 4 (GA4). GA4 uses cookies and may collect your IP address (anonymised), browser type, device type, and pages visited. We do not build individual behavioural profiles. Google Search Console (GSC) provides us with aggregate search-performance data (queries, impressions, clicks) sourced from Google Search — it does not receive any personal data from our site directly.
Payment data: If you subscribe to the Considered plan, billing is handled by Razorpay. We do not store your card or bank details. Razorpay handles that under their own PCI-compliant infrastructure.

3. How we use your data

We use your data solely to operate and improve the Kaien service. Specifically:

To authenticate you and maintain your account.
To check your calendar availability and create booking events.
To send booking confirmation, reminder, and cancellation emails to you and your guests.
To process subscription payments via Razorpay.
To diagnose bugs and improve the product.

We do not sell your data. We do not share your data with third parties for advertising purposes. We do not use your calendar data to train machine learning models.

4. Data retention

We retain your account data for as long as your account is active. Booking records are retained for 12 months after the booking date, after which they are deleted from our primary database. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or tax compliance purposes (for example, billing records under Indian GST law).

5. Your rights

You have the right to access, correct, and delete your personal data. You can:

Access and correct your account information from your account settings at any time.
Delete your account from account settings. This will remove your profile and booking data.
Revoke Google Calendar access from your Google account security settings at any time.
Request a data export by emailing privacy@getkaien.com. We will respond within 30 days.

6. DPDP Act 2023

We are committed to compliance with India's Digital Personal Data Protection Act, 2023 (DPDP Act). As a Data Fiduciary, we process personal data only for the purposes described in this policy, with your consent obtained at sign-up. You have the right to withdraw consent, access your data, and seek grievance redressal. Our Data Protection Officer can be reached at privacy@getkaien.com. We will update this policy as the DPDP rules are notified and come into effect.

7. Infrastructure and third-party services

We rely on the following third-party services to operate and improve the site:

Vercel — our hosting and deployment infrastructure. Vercel processes request logs (including IP addresses) to serve the site and may retain them for a short period for security and debugging purposes. See Vercel's Privacy Policy.
Google Analytics 4 (GA4) — we use GA4 to understand how visitors use the site (page views, session duration, referral sources). GA4 sets cookies and may collect your anonymised IP address, browser, and device information. This data is processed by Google LLC under their own privacy policy. You can opt out via the Google Analytics Opt-out Browser Add-on or by disabling cookies in your browser.
Google Search Console (GSC)— we use GSC to monitor the site's presence in Google Search results (queries, impressions, clicks). GSC does not receive personal data from visitors to our site; it only provides us with aggregate, anonymised search-performance data sourced from Google.

We use a session cookie to keep you logged in. We do not use third-party advertising cookies. You can disable cookies in your browser, though this will prevent you from staying logged in and will also opt you out of GA4 analytics.
